4. Payment Schedule

Payments are required according to the following schedule:

Visa Services

  • Initial Deposit: 50% payable upon service agreement
  • Balance Payment: 50% payable before document submission to embassy
  • Urgent Processing: Additional fees for expedited service

Travel Services

  • Booking Confirmation: 25% deposit to secure reservations
  • Intermediate Payment: 50% payable 45 days before travel
  • Final Payment: 25% balance payable 21 days before travel

Payment deadlines are strict, and failure to meet them may result in service cancellation.

5. Refund Policy

General Refund Terms

  • Service Fees: Consultation and processing fees are non-refundable once services have commenced
  • Government Fees: Embassy/consulate fees are non-refundable once paid
  • Travel Bookings: Subject to airline and hotel cancellation policies

Visa Application Refunds

  • Before Submission: 50% refund if cancellation occurs before document submission to embassy
  • After Submission: No refund once documents are submitted to authorities
  • Visa Rejection: No refunds are provided for visa rejections by embassies or consulates
  • Processing Delays: No refunds for delays caused by government authorities

Travel Service Refunds

  • Flight Cancellations: Subject to airline policy and fare rules
  • Hotel Cancellations: Subject to hotel cancellation policy
  • Package Tours: Refunds based on individual component policies

6. Visa Rejection Policy

Important: No Refunds for Visa Rejections

We provide professional visa consultation and processing services, but the final decision rests entirely with the embassy or consulate. Therefore:

  • No refunds will be issued if your visa application is rejected
  • No refunds will be issued if your visa is approved but you choose not to travel
  • No refunds will be issued for delays in visa processing by government authorities
  • No refunds will be issued for changes in immigration policies

Our service guarantee covers proper document preparation, accurate form completion, and timely submission according to embassy requirements. We cannot guarantee visa approval as this is at the discretion of immigration authorities.

7. Cancellation Policy

Service Cancellation by Customer

  • More than 14 days before submission: 50% refund of service fees (excluding government fees)
  • Less than 14 days before submission: No refund of service fees
  • After document submission: No refund under any circumstances

Cancellation by VisaHub International

  • Full refund if we are unable to provide promised services
  • Pro-rated refund for partially completed services
  • No liability for circumstances beyond our control (natural disasters, political unrest, etc.)

8. Disputed Charges and Chargebacks

Dispute Resolution Process

1. Contact our customer service team immediately for any billing issues

2. Provide documentation to support your dispute

3. Allow 5-7 business days for investigation and resolution

Chargeback Policy

  • Unauthorized chargebacks may result in service termination
  • False chargebacks will be contested with supporting documentation
  • Chargeback fees may be applied to your account
  • Future services may require advance payment after chargeback incidents

We strive to resolve all payment disputes amicably and encourage direct communication before initiating chargebacks.

9. Currency and Exchange Rates

Currency Handling

  • All transactions are processed in USD
  • Exchange rates are determined by your payment provider
  • Currency conversion fees may apply based on your bank/payment method
  • Price guarantees are valid only in the quoted currency

International Payments

  • Additional processing fees may apply for international transactions
  • Wire transfers must include all bank charges
  • Payment confirmation may take longer for international transfers

10. Payment Confirmation and Receipts

  • 1-2 business days for PayPal payments to clear
  • 3-5 business days for bank transfers to reflect

11. Failed Payments

Consequences of Failed Payments

  • Services may be suspended until payment is received
  • Late fees may apply for delayed payments
  • Visa application deadlines may be missed due to payment delays
  • Travel reservations may be canceled automatically

12. Special Circumstances

Force Majeure

No refunds will be provided for circumstances beyond our control including:

  • Natural disasters and weather events
  • Political unrest or travel advisories
  • Pandemic-related travel restrictions
  • Embassy closures or processing delays
  • Acts of terrorism or war

Exceptional Cases

Refund considerations may be made for:

  • Documented medical emergencies
  • Bereavement of immediate family
  • Military deployment orders

Documentation must be provided for exceptional circumstance claims.

13. Policy Updates

We reserve the right to modify this Payment Policy at any time. Changes will be:

  • Posted on our website with effective dates
  • Communicated to active clients via email
  • Applied to new services immediately
  • Applied to existing services with 30 days notice

Continued use of our services after policy changes constitutes acceptance of the updated terms.
